- Account Information: Username, email address, and name provided during account creation
- Claims Data: Information you enter about claims, clients, properties, and related documents
- Payment Information: Processed securely through Stripe. We do not store credit card numbers on our servers
- Usage Data: Login timestamps and feature usage for service improvement
2. How We Use Your Information
We use your information solely to:
- Provide and maintain the Software
- Process subscription payments
- Send service-related communications (outage notices, billing updates)
- Improve the Software
3. Data Storage and Security
Your data is stored on your own server infrastructure. Claims Solutions CRM is a self-hosted application — your claims data, documents, and client information remain on your own hardware. We implement reasonable security measures but cannot guarantee absolute security. You are responsible for maintaining the security of your server environment.
4. Third-Party Services
The Software integrates with the following third-party services:
- Stripe: For payment processing. Subject to Stripe's Privacy Policy
- Cloudflare: For tunnel/hosting services. Subject to Cloudflare's Privacy Policy
- AI Providers (OpenRouter/OpenAI): For document analysis and hail detection features, if configured. Document images may be sent to these providers for processing
5. Data Sharing
We do not sell, rent, or trade your personal information or claims data to third parties. We may share information only:
- With your consent
- To comply with legal obligations
- To protect our rights or safety
6. Data Retention
Your data is retained as long as your account is active. Upon account termination, you may export your data. We will delete your account data within 30 days of a written request.
7. Your Rights

8. Children's Privacy
The Software is not intended for use by individuals under the age of 18. We do not knowingly collect information from children.

We may update this Privacy Policy from time to time. We will notify active subscribers of material changes via email or in-app notification.
